How To Create, View and Action Tasks

The Task feature serves as a useful tool for documenting work related to patient care, quality processes, and medico-legal requirements.

Each user can create Tasks and have Tasks assigned to them. Tasks are never deleted, which creates a permanent record of the task.

Tasks can be created from various locations in HealthTrack:

Patient Demographic tab select Add Task
Patient Management tab select New from the Tasks section at the bottom of the screen
Clinical Summary tab select Add Task
Practice Wide > Incoming Approval select Accept and Add Task
Booking Form select Add Task
Diary > Task tab select New

Creating A Task

  • Select any of the options above to open the edit Task window.
  • In the Task window, the Patient's basic information is displayed at the top.

Associations Tasks can be associated with a Patient, Booking, Medical Record, Company, Referral or Prescription. Where an association exists, the button will be highlighted in yellow. Selecting the button will open the associated item.
Task The title of the Task should be entered here. The title should be brief, for display purposes.
Task Type Use the drop-down to select one of the three options: User-defined, Follow-up or Pathology.
Due Date Set the date the Task becomes due
Start Date Set the date the Task is due to start
Priority 3 different levels: Low, Normal and High. Tasks automatically default to Normal on creation.
Status Allows users to modify the status of the Task
Detail Allows the Task creator to provide clear instructions for the assignee. Since Tasks are permanent records, include enough information for anyone to understand later. Only the creator can edit these details once saved.
Comments Allows users to add comments to Tasks. The Timestamp button will add a log of the user's name, date and time to the Comments field.
Assigned To The Task creator assigns the Task to a user or a group of users.
Ownership Shows who created the Task and gives the creator the option to select who manages the Task.
Redefine Task Only active for the creator of the Task. Selecting enables the Detail section of the Task to be modified.
Save & Close Saves and Closes the Task
Save & Return to Sender Saves the Task and automatically selects the Creator as the Assignee (a Task can therefore be quickly actioned by the Assignee and returned to the sender of the Task)
Print Prints the Task
Delete Task Deletes the Task (appropriate permission settings may be required)

How To View A Task

  • Tasks are displayed in the Task List, which can be accessed several ways:
    • the Diary, under the Task tab, select List
    • the Patient Management tab, under the Tasks section, select List
    • Practice Wide > Task List
    • Practice Wide > My Dashboard
  • The task list displays tasks assigned to you or your group.

  • Use filters on the right-hand side of the Task List to change displayed tasks.
  • Icons in the Actions column allow you to:
    • Open a Task.
    • Go to a patient file.
    • Mark a task as complete.

How To Action A Task

  • To open a task, click the icon or double-click the row.
  • Press Redefine Task to make it editable.

  • You may wish to:
    • Change the status of the task (e.g., mark it as In Progress).
    • Add timestamped comments (e.g., 'Called and left a message, call again tomorrow').
    • Mark the task as Complete
    • Redefine the Task to become due again at a later date
  • When you've finished editing the Task select Save and Close.

It is recommended to review the Task List daily to complete all due tasks.
