Viewing a Patient's Billing History

Accessing the Transaction Listing
  1. Select the Accounts menu.
  2. Choose Transaction Listing.
  3. Use the Find Patient button to switch between different patients' transaction listings.

The original patient's Clinical Record remains active when using the Find Patient button. Use the Go To button to navigate to the selected patient's record.

  • The transactions visible can be adjusted using the Filter section in the top right corner. In this section, you can apply a date range, view transactions for a specific location, and filter the types of transactions visible in the transaction list.
  • The Colour Key on the right-hand side can be used for a visual reference of transaction types (e.g., invoices in blue, payments in green).
  • The Action pane can be used to perform actions, including:
    • Reverse an invoice or payment
    • Apply adjustments (credits, bad debts, changes to fees)
    • Issue a refund
    • Print statements
  • In the Accounts pane, you can perform actions including:
    • Create invoices
    • Receive payments
    • Allocate payments to invoices
    • Create quotes
  • The Print button can be used to create a transaction details document for the current patient or all patients.

The transactions are divided into four sections:

Transactions: This section can be viewed using the Invoices tab or the Items tab.

  • The Invoices tab includes invoices, payments, credits, adjustments, bad debts, refunds, and reversed transactions.
  • The Items tab displays all individual item numbers that have been invoiced.

To see reversed transactions, select Include Reversed in the Filters and select the Refresh List button.

Quotes & On-Hold Invoices: This section lists any quotes that have not been converted into an invoice, as well as invoices that are on-hold.

Allocations: This section provides details on the specific payments allocated to a selected invoice, or which invoice a payment relates to.

The Allocations panel can be set to be open or collapsed based on an individual's User Preferences.

Outstanding Invoices Summary: This section provides debtor information, including:

    • Outstanding balances in age brackets (current, 30, 60, 90, 120 days)
    • Total outstanding amount
    • Any available credit
