How to add a Health Fund
HealthTrack is already configured with a list of Health Funds. Before adding a Health Fund to your system, you can contact HealthTrack Support to confirm if the fund may already be configured under a different name.
Adding a Health Fund
- Navigate to Practice Wide > Companies.
- In the Company Management screen, select New.
- Enter the health fund name to be added
- HealthTrack will first search the system for an existing entry.
- In the Proceed? confirmation window, select Yes.
- The health fund record will be created and you can add the relevant details, e.g. contact, address etc.).
Make sure to tick Company is a Health Fund for HealthTrack to add the new company to the health funds list.
- Populate the details in the Health Fund Details tab that appears upon ticking Company is a Health Fund.
HealthTrack will need to be restarted for any changes to take effect.
Health Fund Details
The Health Fund Details tab is used to set the fee schedule and capture required details for online billing.
- Fee Tables: there are multiple fee table options for health funds (i.e. Known Gap, No Gap, Other). A new fee table is added automatically every time there is a fee update.
- Online Fund Code: code which identifies the health fund when sending online batches.
- Online Registration Status: shows as Registered or Not Registered. Please note that the correct Online Fund Code is required for a Registered status.
- Requires Practice ID: in some instances, health funds require a separate Practice ID to be submitted when billing online.
- Activate for HealthTrack: ticking this enables the Show Online Billing Relationships button, so you can add Doctor relationships for online billing.
- Update All Healthfund Capabilities: this button will check if any changes to the fund name or Online Fund Code have been made.
It is important to periodically select the Update All Healthfund Capabilities button. New funds will appear highlighted green, and incorrectly set up funds will be highlighted grey. To confirm the Online Fund Code, it is best to contact the health fund directly.
