How to have doctor specific fees

HealthTrack lets you assign different fees to a billing item based on the attending doctor and service location. When a doctor is selected on an invoice, the system automatically applies that doctor's configured fee instead of the default practice fee.

Go to Admin > Billing > Add/Modify Billing Items.
Locate the item number. Use the search field or scroll to find it.
Click Edit at the bottom left of the screen.

In the Location and MO Specific Fees section, click New to add a doctor-specific fee.
Select the doctor from the MO drop-down.

To apply this fee to all locations, leave the Location field set to All Locations. To restrict it to a single location, select that location from the drop-down.

Select Edit under the Fee field to open the Practice Fee Management screen.

Enter the fee amount in the Fee field, then click Save.
Click Save on the item number screen to save your changes.

Staff will need to restart HealthTrack before the new fee applies to invoices.

Set fees by billing class

You can also set fee overrides based on the patient's billing class (such as Concession or Pensioner), combined with a specific doctor and location. This is managed in the same Location and MO Specific Fees section.

When HealthTrack determines the fee for an invoice item, it applies the following priority order:

Priority	Match criteria
1 (highest)	Billing class + doctor + location match
2	Billing class + doctor + all locations
3	Billing class + all doctors + location match
4	Billing class + all doctors + all locations
5	Doctor + location match (no billing class override)
6	Doctor + all locations (no billing class override)
7	All doctors + location match (no billing class override)
8 (lowest)	Item generic practice fee

When entering an item number on an invoice, you can type a suffix to select a billing class directly - for example, enter 110-C to apply the Concession override for item 110. The fee updates automatically based on the attending doctor and service location.
