How to enable the Doctor Portal

The Doctor Portal is a HealthTrack smartphone app that lets doctors view their diary, dictate letters, review patient documents, and enter patient billing from their phone or tablet.

Each doctor must complete registration individually. You will need a HealthTrack Cloud account - you can create one during registration if you don’t have one.

Register for the Doctor Portal

  1. Navigate to File > User Preferences.
  2. Select the Cloud Details tab.
  3. Click Login/Register.
    • If you already have a HealthTrack Cloud account, log in with those credentials.
    • If you don’t have one, use the Sign up now option to create an account.
  4. After logging in, your Cloud Details will appear on screen.
  5. Click Register.
    • A confirmation prompt will appear. Internal MOs will also be notified that a Diary Sync Configuration has been created.
  6. Click Save & Close.

Billing settings

The following settings in File > User Preferences > Cloud Details control how patients are displayed in the Patient Billing app.

Setting Description
Follow Up Task Assignee The user or group assigned the Follow-up Task when a patient is discharged.
Message to Secretary The user or group assigned the Message to Secretary task when a patient is discharged.
Auto Patient Sync When the Disabled checkbox is ticked, patients will no longer be synced to the Patient Billing app from the Diary. All patients must be added manually.

Diary settings

When you first register, a Diary Sync Configuration is created automatically. This configuration controls which bookings appear in the Diary and Dictation apps in the Doctor Portal. You can change it at any time.


  1. Navigate to File > User Preferences > Cloud Details.
  2. Select a configuration from the Diary Configuration drop-down. Only enabled configurations will appear.
  3. Click Save & Close.

Click View Configuration to open and review your current Diary Sync Configuration settings.


Install the Doctor Portal app

Open your phone’s browser and go to DoctorPortal.HealthTrackCloud.com.au. Log in with your HealthTrack Cloud credentials.


Android

  1. After logging in, tap the Install Doctor Portal banner at the top of the page.

2.  Tap Install to confirm.

If you missed the banner, tap the ⋮ (vertical ellipsis) icon in the top right of the browser, select Install App, and follow the prompts.

iPhone

  • In Safari, tap Share at the bottom of the browser, then select Add to Home Screen > Add.
  • In Chrome, tap Share at the top right of the browser, then select Add to Home Screen > Add.

If you are registered at more than one practice, the app will prompt you to select a practice when you open it.

The Doctor Portal current features a Patient Billing app, Diary app for viewing bookings, Dictation, and Patient Documents for viewing existing records in HealthTrack. The Doctor Portal will display each of these apps for selection.
