On-Hold Invoices
An On-Hold invoice is one that has been raised but not yet issued. Use it to keep a draft invoice open while you wait for additional information, such as a referral or extra billing items. Inpatient billing is a typical example: charges accumulate across the length of an admission and the invoice is held until discharge.
Place an invoice on hold
- Open the Invoice screen for the patient and add the billing items you have so far.
For more detailed instructions on opening an invoice, review our article: How to create an invoice.
- At the bottom right of the Invoice screen, click On-Hold.

The Invoice screen closes and the invoice is held with the billing items you have added. There is no limit to the number of times an invoice can be placed on hold.
Reopen a held invoice
When a patient has a current On-Hold invoice, HealthTrack prompts you the next time you start an invoice for them. This applies whether the invoice is initiated:
- by closing a booking in the Diary
- from Accounts > Create Invoice
- by selecting Create Invoice in the Transaction Listing screen
- Start an invoice using any of the methods above.
- The Select Held Invoice dialog appears.

- Click Use Held Invoice to open the existing held invoice for editing, or click New Invoice to create a separate invoice.

The held invoice opens in wheat colour to distinguish it from a new invoice.
Add or update billing items, then either:
- Click Issue or Save & Pay to finalise the invoice.
- Click On-Hold again to keep editing later.
View On-Hold invoices
- Navigate to Accounts > Transaction Listing.
- Look in the Quotes & On-Hold Invoices panel.

- Open an invoice by double-clicking the row, or right-click the row and select Open.
