Unallocated Payments Report

The Unallocated Payments Report lists every payment received in HealthTrack that has not yet been fully allocated to invoices. Use it to identify payments sitting in credit so they can be allocated, refunded, or retained.

Run this report before any income or end-of-month reporting. Income reports only recognise payments once they are allocated, so unallocated balances will not appear in those totals until cleared.


Run the report

  1. Navigate to Accounts > Allocations > Unallocated Payments.
  2. The Select Location dialog opens. Select a single billing location, or select all locations to report across the practice.

  1. Click Go to generate the report.


What the report shows

The report lists each unallocated payment with the patient, payment date, payment type, original amount, allocated amount, and remaining unallocated balance. Use it to find payments that need attention.

Situation Action
Payment is fully unallocated Allocate it to the relevant invoice from the patient's account.
Payment is partially allocated with a small remaining balance Allocate the remainder to another invoice, refund the patient, or use Retain Funds for small rounding discrepancies.
Payment is in credit and the patient has no outstanding invoices Refund the patient, or hold the credit on the account for a future invoice.

When to run this report

  • Before running the Finance Summary or other income reports at end-of-month, so unallocated payments can be cleared first.
  • As part of regular debtor and credit reviews, to identify payments that need to be allocated, refunded, or retained.
