How to Create Fast Tags

A Fast Tag is a short code that expands into a stored piece of text as you type. Enter //   followed by the code and the full text replaces it. Fast Tags are the HealthTrack equivalent of VIP auto text.

Fast Tags are part of Smart Text. Each tag belongs to a Smart Text item, so creating a Fast Tag means creating (or editing) a Smart Text item and giving it a code. This article covers that task. For the wider Smart Text feature, see How to Configure Smart Text.

You need the EditSmartTextConfig permission to open the Smart Text Editor.

Before you start

  • Decide which record type the tag is for. Smart Text is configured per record type (a Set), and an item created in one Set does not appear in another. Create the tag in the record type where the doctor or assistant will use it.
  • Choose a short, memorable code with no spaces or punctuation symbols, for example nad, rvw6 or mcc. Codes are not case sensitive.
  • Have the full text ready. Letter Tags such as <HMS-Patient_Firstname> can be included and fill with live data when the tag expands.

Create a Fast Tag

  1. Open a clinical record of the relevant type and select the Report tab.
  2. Click the drop-down arrow next to the Hide Smart Text button and select Edit Smart Text Config. The Smart Text Editor opens for this record type.
  3. Check the Main Group, Sub-Group and Set Name at the top of the screen match the record type you want.
  4. In the tree, select the group the text belongs in. To keep tags together, create a group called Fast Tags with Header Style set to Invisible so no heading is inserted when a tag expands.
  5. Click Add Smart Text.
  6. Enter the full text in the Display Text field.
  7. Enter a Short Description if the text is long. This is what shows in the tree.
  8. Enter the code in the Smart Tag field. Do not include the //   prefix.
  9. Click Save, then Save All.
  10. Click Close.

Use a Fast Tag

  1. Place the cursor where the text should go, in a clinical note, report or letter.
  2. Enter //   followed by the code, for example //nad.
  3. Press Space  , Enter  , a comma or a full stop. The code is replaced with the stored text.

If the code does not expand, the item is probably in a different Set. Open the Smart Text Editor from the record type you are working in and check the tag exists there.

Edit or remove a Fast Tag

  1. Open the Smart Text Editor from the same record type.
  2. Select the item in the tree and click Edit.
  3. Change the Display Text or the Smart Tag code, then click Save and Save All.

To remove a tag, select the item and click Delete.

Deleting a Smart Text item is permanent. There is no undo and no version history.

Moving from VIP auto text

VIP auto text entries cannot be migrated automatically. The two systems store them differently. Export the list from VIP and recreate each entry as a Fast Tag using the steps above. Keep the same codes where possible so staff do not need to relearn them.
