How to view your appointments remotely
The Doctor Portal Diary app lets you view upcoming bookings on your phone or tablet. The diary is read-only - you can browse appointments and patient details, but cannot add or change bookings from the app.
Before using the Diary app, you need to set up the Doctor Portal and configure a Diary Sync Configuration. See How to enable the Doctor Portal if you have not yet done this.
Viewing your diary
The Diary app shows the bookings that fall within your assigned Diary Sync Configuration.
- Open the Doctor Portal app on your device.
- Tap
Diaryfrom the HealthTrack Apps screen. - The diary opens in Day view by default.

Changing the diary view
Switch between Day, Week, and Month views using the ☰ menu in the top left of the screen.

| Day | All bookings for the selected day in a time-slot layout |
| Week | All bookings across a 7-day span |
| Month | A monthly calendar - tap a day to switch to Day view for that date |
Navigating between dates
- Use the
<and>icons at the top of the screen to move back or forward by one day, week, or month (depending on the active view). - Tap the date header to open a calendar picker and jump directly to a specific date.
You can only navigate to dates within the Days Forward and Days Behind range set in your Diary Sync Configuration. Dates outside this range will be unavailable.
- To return to today's date, tap the date shown in the top right of the screen, then tap Today.
Viewing booking details
In Day and Week view, tap any booking to open its details. The details panel shows:
- Patient name and date of birth
- Booking type, time, and room
- Referral details (if a referral is attached to the booking)
- Shortcuts to the Dictation and Patient Documents apps for this patient

Adjusting diary display settings
Tap the cog icon next to the date to adjust how the diary is displayed. Two settings are available:

| Slot Size | Controls the time interval shown per row in Day and Week view |
| Size Mode | Controls how appointment blocks are sized relative to their duration |

Returning to the app menu
To go back to the HealthTrack Apps screen from the Diary, tap the ☰ icon and select Back.
Managing the Diary Sync Configuration
The Diary Sync Configuration controls which bookings are visible in the app. It filters by location, room, booking type, doctor, and booking status. This is typically configured by a practice administrator.
To view or edit the configuration:
- Navigate to Admin > Maintenance > Diary Sync Configuration.
- Select an existing configuration from the list on the left.
- Click
Edit. - Update the Location/Room, Booking Type, Doctor, and Status selections as required.
- Tick the Enabled checkbox.
- Click
Save.


Doctors can also view their current configuration from within HealthTrack at File > User Preferences > Cloud Details by clicking View Configuration.
The diary is synchronised overnight and each time a booking is created or changed. This means the app will generally reflect updates made in HealthTrack without delay.
Diary Sync Configuration: key fields

| Enabled | Tick to make this configuration available in User Preferences. When un-ticked, data is removed from the Doctor Portal. |
| Days Forward | How far into the future bookings are visible in the app |

| Location / Room | Limits visibility to bookings in the selected locations and rooms |
| Booking Type | Limits visibility to the selected booking types |
| Booked Doctor | Limits visibility to the selected doctors. Choose Ignore to show all bookings regardless of doctor |
