Admissions Manager

The Admissions Manager can be accessed via Hospital > Admissions Manager. This screen shows admissions at different stages, from pre-admissions through to discharges, and tracks progress actions that may need to be performed. Use it to work through the day's arrivals, find admissions with outstanding steps, and open records that need attention.

When to Use the Admissions Manager

The Admissions Manager is a worklist, not an admission form. From the list you can find an admission and open it to work on it. You cannot admit or discharge a patient from the list itself; open the admission record to do that.

Filters

In the top left of the Admissions Manager, there are buttons that can be used to filter the list to specific admissions. Each of these built-in filters applies a default date range, so if a record seems to be missing, check which mode you are in and widen the dates before anything else.

Mode What it shows Date filters
Scheduled Admissions The default view. Patients booked in the diary for admission. This is the bridge between the Diary and Admissions: it shows who is expected, whether or not an admission record exists yet. Today's bookings as scheduled in the Diary.
Admitted Patients Patients who have been admitted. No date range filter is applied to ensure all admissions are captured.
Incomplete Admissions Admissions where one or more progress flags are still outstanding. No date range filter is applied to ensure all incomplete admissions are captured.
Incomplete Discharges Discharged stays where one or more progress flags are still outstanding. No date range filter is applied to ensure all incomplete discharges are captured.
Discharged Patients Patients who have been discharged. Admissions listing today's date as the Discharge Date.

When viewing Scheduled Admissions, a row with the NO ADMISSION status means the patient has an inpatient booking in the Diary, but no admission record yet. The list offers a Pre-admit action so you can start the admission ahead of arrival.

Progress Flags

Each admission carries a set of checkboxes to track its progress. An admission appears in the Incomplete Admissions filter while any of these progress flags remain unchecked.

The progress flags cannot be modified from the Admissions Manager. To update the progress flags, you should open the admission and complete the necessary tasks, which will be reflected in the Admissions Manager.

Flag What it means How to set it
Pre-Admit The admission was created ahead of arrival and is still at the pre-admission stage. Tick Pre-admit Assessment on the Admission tab.

Billed Service Billing for services has been raised. Tick Billed Service on the Invoices tab or the Theatre Visits/Services tab.
Ready for Transmission The admission has been marked ready for inclusion in the casemix submission files. Tick Ready for Transmission on the Admission tab.
