Monthly Admissions Submission

Hospitals are required to provide admission data to health funds through regular data submissions. HealthTrack can generate submission files for the following national and state-specific bodies:

  • Hospital Casemix Protocol (HCP)
  • Private Hospital Data Bureau (PHDB)
  • Private Hospital Inpatient Statistic Collection Online System (PHISCo) — formerly Inpatient Statistics Collection (ISC)
  • Queensland Hospital Admitted Patient Data Collection (QHAPDC)

The Submission Process

  1. Code and discharge the admission.
  2. Check Ready for Transmission on the admission. HealthTrack performs validation at this point to ensure all required data has been entered/coded.
  3. Navigate to Hospitals > Admissions Submission.
    • Set filters including a date range, location, and health fund.
    • Specify the type of submission files to be generated.
    • Specify where the file/s should be generated.
    • Select Export to create the submission file/s.
  4. Upload the file/s to the agency or health fund through their own submission portals.

Data Validation

HealthTrack checks the admission when you check Ready for Transmission, not when you generate the submission file/s.

If Ready for Transmission cannot be ticked, ensure that the admission has been discharged. If data is missing, edit the admission and complete the missing coding or admission details, then try again.

Admission Corrections

To correct an admission after its file has been generated, you will need to uncheck Ready for Transmission on the admission. Be aware of two things before you do:

  • Unticking Ready for Transmission deletes the generated submission data for that admission. You will need to re-tick Ready for Transmission and generate new files once your corrections are made.
  • Unticking Ready for Transmission also re-opens the admission for claiming. The same control affects billing, so check with your billing team before unticking an admission that has already been claimed.

The ability to uncheck Ready for Transmission requires specific user permissions. If you cannot to do this, speak to your Practice Manager.
