Different ways to Find a patient
- Use the Find Patient button on the Demographic tab

Search Options

- Surname (with optional Sounds Like search for variations like Mac/Mc)
- Known as search (to search by the name a patient prefers to go by)

Best Practice for Surname Search: Enter the first 3 letters of the surname + first letter of the first name.
- How to search by DOB:
- Ensure Surname/Patient ID is selected under Search By.
- Enter the DOB only in the DOB field.
- Click Find to view matching patients.
How the main search box decides what you typed
In the default search mode, the Family Name search box accepts a surname, a Patient ID or a Medicare number, and HealthTrack works out which one you entered:
- An entry that is all numbers is never treated as a name. If it is a valid Medicare number, HealthTrack searches by Medicare number (and opens the patient directly when there is a single match). Any other number is treated as a Patient ID and opens that patient.
- Anything else is treated as a name search. Surname matches work from the start of the name, so "Smi" finds Smith and Smithers. Use the Sounds Like option for spelling variations and the Known as option to match preferred names.
Because numbers are checked as Medicare numbers first, a Patient ID that happens to be a valid Medicare number cannot be opened by entering it in this box. Switch to a different search option, or search by name instead.
Previous names and aliases
Patients are searchable under their previous names as well as their current one. If a patient has changed their name (for example a maiden name), searching either name finds them. Alias matches appear in the results as highlighted rows, and selecting one opens the patient's current record.
Patient statuses in the results
Search results always include patients of every status - Active, Inactive, Contact and Deceased. Status never filters the list; it is shown by the colour of the row only.

The row colours for each status can be changed in your settings, so they may differ between practices.
Merged and deleted patients
- Patients whose records have been merged or deleted never appear in name search results.
- If you enter the Patient ID of a merged patient, HealthTrack redirects you to the surviving record and lets you know.
- If you enter the Patient ID of a deleted patient, HealthTrack will not open the record.
Selecting a Patient
- Click the patient's name, then click Select Patient from List, or
- Double-click the patient's name to open their Demographics screen directly.
If you cannot find a patient
- You searched a number and got the wrong patient or nothing: the box treats numbers as Medicare numbers or Patient IDs, never as names. Search by name instead.
- The patient changed their name: search either the old or the new name - both work. The old name shows as a highlighted alias row.
- You think the patient is hidden by their status: they are not. Every status always shows in results; check the row colours.
- The patient was merged: search by name finds the surviving record, or enter their old Patient ID and HealthTrack redirects you.
