Overview of Patient Worklists

The Patient Worklist provides a quick way to navigate between patients. It gathers names from different parts of HealthTrack and displays them in a simple, scrollable list.

What the Worklist Does

  • Collects patients from anywhere you see a Send to Worklist or To Worklist button.
  • Populates automatically after you:
    • Send patients to the Worklist.
    • Complete an Advanced Search.
    • Request a list of Recent Patients.
  • Appears on the left side of your HealthTrack main screen.

If a Worklist is already open, you may need to click it on your taskbar to bring it forward.

An Advanced Search adds a maximum of 1,000 patients to the Worklist. If your search matched more than 1,000, the Worklist shows a red (capped) label next to the patient count and the extra patients are not included. Narrow your search criteria and run it again to bring the full result set under the cap.

Sending a new search or list to the Worklist replaces the patients currently on it. If you have built up a list you want to keep, save it first (see below) before running another search.

  • Click a patient in the list to open their record immediately.
  • Use the Previous and Next buttons to move through the list one record at a time.
  • Use the search fields beneath column headings (e.g. Family Name, Given Name) to filter the list.
  • Filtering is useful for large Worklists when you only need a specific subset of patients.
  • To remove patients from the Worklist, right-click the patient and select Remove patient from worklist.

  • The Worklist can be printed via the Printer icon at the bottom of the Worklist screen. A preview report will appear where you can then print as needed.

    • In the preview screen, select the Export Document button to export in another format (i.e. Excel, CSV etc.)


Save a Patient Worklist

The list of patients on your Worklist can be saved to access again at a later date, or to share with another user. A saved Worklist will only include the patients on the list at the time of being saved.

  1. Select the Manage button.
  2. Enter a List Name.
  3. Select or clear the Private checkbox to indicate whether other users can view this Worklist.
  4. Select the Confirm button.

The Private checkbox is selected by default. Other users can see and load any Worklist that is not marked Private.

Worklist names must be unique across your whole practice, not for each user. If HealthTrack will not accept the name you entered, another user has already saved a Worklist with that name. Choose a different name, or a clearer naming pattern such as adding your initials or the date.

Saving with the name of an existing Worklist overwrites that list after a warning prompt. A shared (non-Private) Worklist can be overwritten by any user who confirms the prompt, so use names other users will recognise and take care when confirming. Another user's Private Worklist cannot be overwritten or deleted without an additional permission that most users do not have.

A saved Worklist can be accessed via Edit > Patient Worklist and selecting the Manage button. Select the Worklist from the table and choose 'Load' and Confirm.
