How to take a pre-payment
A pre-payment is money received before the invoice exists. The common case is a deposit for an upcoming procedure: the patient pays now, and the invoice is raised on the day of surgery. HealthTrack holds the money on the patient's account until you allocate it to an invoice.
Take the pre-payment
- Go to Accounts > Receive Payment, or open it from the Transaction Listing.
- Select Receive Payment.
- Add the payment items (cash, card, direct deposit and so on), select the date and location, and receive the payment as usual. See How to receive a payment.
Where the money sits
Until it is allocated, the pre-payment shows on the patient's account as available credit. You can see it:
- in the patient's Transaction Listing, in the Outstanding Invoices Summary section, as available credit.
- on the Unallocated Payments Report, which lists all payments not yet fully allocated.
- on the Unearned Income Summary, which practice managers use to track money received for services not yet provided.
Allocate it when the invoice is raised
